At the moment, the page captures data you enter about upcoming jobs for the Fairbanks Community Band (FCB). When the form is completed, select print from your browser, select preview, and save the preview as a PDF. You can then email the PDF as an attachment to the FCB treasurer and to the leader of the band involved. This form should provide enough information to determine if we can do the job -- no conflicts with other dates, enough musicians, etc. Once the band leader accepts the job, the treasure can prepare invoices and record income.

Things left to do:

  1. validate data input
  2. send machine readable data to the treasurer
  3. email copies of the PDF to the client and to the band people
  4. make any necessary revisions to form content and process

  • Music start and stop times are required. If we must, we can guess at the others.
  • We need access at least 45 minutes before music starts.
  • We need at least 30 minutes to load our equipment and leave.

Here is where we find out who will provide how much of what.

  • We need chairs for each of us.
    • Jazz band needs 18 chairs
    • Concert band needs about 50
  • How much extra power cord is needed?
  • For jobs of two hours or more, we need access to water. Some access to food is a help. Needs vary with the type of band and the activity. Should either be:
    • Provided by the client
    • Provided by the band
    • Left to individuals?
  • Add any comments that seem relevent.

It really helps to plan for who does what and when. There are 4 sections:

  1. How we contact each other
  2. A description of the event
  3. Who provides what
  4. Sending this to the contacts
In our experience, a single point of contact for each party makes life much easier for everybody. The only criterion is that the person be reliable about routing communications to a person willing and able to respond promptly.
